Do you take a percentage of my revenue?

Nope! We charge a flat monthly fee. You keep 100% of your studio's revenue. Your Helcim merchant account processes payments directly to your bank account. We never touch your money.

What payment processor do you use?

We integrate with Helcim. Your studio creates and owns its own merchant account, so payments go directly to your bank account and Wellspring does not take a cut. Transparent processor, direct relationship, no middlemen.

Can I use my own domain?

Yes! Custom domain support is included. You can run your studio on yourstudio.com. Your members will never see "Wellspring" anywhere - it's fully white-labeled.

How long does setup take?

Your onboarding includes two weeks of dedicated migration support to get everything transferred, followed by a full month of high-touch personal care as your team gets comfortable. Most studios are live within the first two weeks, and then I stay closely involved to make sure everything runs smoothly.

How much does Wellspring cost?

$499/mo for a single-location studio. Everything is included — branded mobile app, custom domain, all features. No per-member charges, no revenue cut. Or pay annually for $5,000/year and save $988.

What if I need to cancel?

Cancel anytime. The 30-day money-back guarantee covers your monthly subscription — if Wellspring isn't the right fit, we refund your first month completely.

The $2,000 onboarding fee is fully refundable before we start work (pre-kickoff call, before travel or data export). Once migration is actually underway, it's non-refundable — that fee covers real labor: data migration, training sessions, and often a trip to your studio. Same as any service business with hands-on work.

What happens to my members' auto-renewing memberships during migration?

We keep them alive. Your members don't lose access, their subscriptions continue billing on schedule, and we coordinate the cutover so nobody has to re-enroll. The one thing members will do is confirm their payment method in your new Helcim-backed checkout the first time they renew after migration — we email them in advance with clear instructions.

Do I have to get my own Helcim account? How long does that take?

Yes — that's the whole point of transparent pricing. You sign your own Helcim merchant agreement, so we literally cannot mark up your transaction rate. Approval typically takes 1–3 business days. I help with the paperwork and make sure it's active before you go live.

What if Helcim's rates turn out to be higher than what I pay now?

Send me your current statement during onboarding and I'll do a line-by-line comparison before you sign anything. Helcim publishes its interchange-plus rates publicly (starting at interchange + 0.40% + $0.08 card-present, + 0.50% + $0.25 online). For most studios migrating from Mindbody, WellnessLiving, or Momence, Helcim ends up meaningfully cheaper. If your current rate is genuinely lower, I'll tell you.

Can teachers see each other's schedules? How does role-based access work?

Four roles: Member, Teacher, Manager, Owner. Teachers see their own classes, their own subs, their own attendance numbers. They don't see member payment info, manager analytics, or other teachers' private notes. Front desk staff use a separate PIN check-in flow so they can help members without seeing financials.

Can classes have multiple instructors?

Yes. List co-teachers on any class. Substitutions work the same way — any assigned instructor can request a sub or be substituted. Teacher payment splits are handled per-class if you need them.

Is there a contract? Month-to-month or annual?

Month-to-month by default. Cancel anytime. If you prefer annual, $5,000/year saves $988 compared to monthly billing. No long-term contracts either way.

Do you offer discounts for annual billing?

Yes! Pay annually for $5,000/year and save $988.

Can I migrate from Mindbody or another platform?

Absolutely! I've done this before (E8 Yoga migrated from WellnessLiving) and I can help you through it. Your member data, class history, and payment info can all come over.

Is there a setup fee?

There is a one-time $2,000 onboarding fee, and it's money well spent. You get two weeks of dedicated migration support — we transfer your members, schedules, products, and payments from your current platform — followed by a full month of high-touch personal care as your team gets comfortable. After that, ongoing support is always just a phone call away.

Do you support multiple locations?

Not right now. Wellspring is built for single-location independent studios. Multi-location will come later, but until then we probably wouldn't be the right fit for a multi-site operation — and I'd rather be honest about that than stretch to fit.

How big is your team? Will you be around in 5 years?

Honest answer: Wellspring is a small, founder-led business — profitable, self-funded, no venture capital. I (Kyle) build the software, and John co-owns the company while running E8 Yoga, which keeps the product grounded in real studio operations. No runway pressure, no growth-at-all-costs mandate, and no plan to sell to a holding company. I'm committed to this for the long haul. And if something ever happened, your data is yours — I'd help you export everything.

What if something breaks on a Saturday night?
